## What Arctis AI Is

Arctis AI is a preconstruction platform built for general contractors, specialty and trade contractors, and owner-side organizations running capital projects. Six specialized agents work on the actual project documents — bid packages, drawings, specifications, subcontractor proposals and contracts — and return findings traced back to the source page and clause. The platform supports hard bid, design-build and CM-at-Risk delivery in the US, and public and private procurement including VOB/B in the DACH region.

Unlike a general-purpose AI assistant, Arctis applies each company's own rules: its bidder list, its eligibility profile, its contract playbook, its price history. Unlike traditional preconstruction software, the agents read unstructured documents rather than requiring data to be entered first. The decision always stays with the customer's team.

## The Six Agents

### 1. Scout — project discovery
Monitors bid boards, plan rooms, client and owner portals and shared inboxes continuously. Every new project is checked against the company profile — trades, regions, contract size, client history — and only matches are surfaced, with deadlines, pre-bid meetings and the reason each one matched. Expected projects can be registered on a watchlist and trigger an alert the moment they go out to bid. Two hours of daily portal sweeping becomes a five-minute morning review.

### 2. Tender — bid package analysis and go/no-go
Reads the complete bid package: scope, specifications, contract terms, supplementary conditions, schedule, drawing list and every attachment. Returns a go/no-go recommendation with the risks that shaped it — liquidated damages, one-sided clauses, tight schedules, warranty terms. Eligibility is checked against references, certificates, prequalification and capacity. Addenda are read against the original package with the impact of each change surfaced. Every finding links to the passage it came from. Under an hour for work that takes an experienced estimator most of a day.

### 3. Source — bid packages and subcontractor outreach
Builds bid packages from the project scope and sends them to the right subcontractors and suppliers. Scope items are assigned to packages automatically; drag and drop is only for corrections. Subcontractor suggestions come from the customer's own history, weighted by past performance, compliance status and proximity. Every sub bids the same defined scope, responses land in one place, and coverage per trade stays visible. Reminders, status updates and rejections run automatically through the bidding phase.

### 4. Evaluate — bid leveling and award
Reads subcontractor bids in any format — PDF, Excel, Word, scans, email attachments — and aligns them line by line into a single bid tab. Exclusions, unpriced items, scope exceptions and alternates are flagged and explained, each traceable to its page and clause in the original bid. Produces an award-ready memo with the evidence behind every recommendation. Item-level comparison in hours instead of days, and no change orders from exceptions that were visible before award but buried in a PDF nobody had time to read.

### 5. Contract — contract review
Compares each agreement against the company's playbook, on the prime side and the sub side, with separate rule sets for prime contracts, subcontracts and master agreements. Liquidated damages and liability caps, payment terms and retainage, indemnification, termination for convenience, insurance requirements, warranty periods and claims provisions are all checked against what the company accepts. Change orders and claims are reviewed against the signed contract. Output is a structured exception report with page and clause references, not a summary. Works with AIA, ConsensusDocs, FIDIC and VOB/B forms, including heavily amended versions.

### 6. Intelligence — bid and price database
The data layer beneath every other agent. Bids received, prices seen, subcontractor responses and award decisions flow into a structured, searchable database. New estimates can be prefilled from comparable earlier bids with source references, and current bids benchmarked against the company's own history for award negotiations. Unlike a market index, this is the customer's own data: their projects, their prices, their decisions. Pricing knowledge stays with the company when an estimator retires.

## Document Formats

PDF, Excel, Word, scanned documents (OCR), email and email attachments. Bid packages and subcontractor bids are read as they arrive rather than requiring a standard template. In the DACH region, GAEB files (DA83, DA84, DA86) are read natively as well.

## Security and Compliance

- Hosting: European Union, Frankfurt region. No transfer to third countries.
- Infrastructure: ISO 27001-certified cloud providers; core providers independently SOC 2 Type II audited; data centers attested to Germany's C5 standard. Arctis AI's own ISO 27001 certification is in progress.
- AI processing: Google Vertex AI under enterprise terms. Customer prompts and documents are not used to train Google's foundation models, and Arctis trains, fine-tunes and builds no model on customer data.
- Tenancy: every organization is a sealed tenant, enforced at the application layer and again by database row-level security. No cross-tenant learning.
- Encryption: TLS in transit, AES-256 at rest.
- GDPR: documented technical and organizational measures, an Art. 28 data-processing agreement, a maintained sub-processor list, defined data-subject-rights processes. Aligned with the EU AI Act's transparency and human-oversight principles.
- Access: enterprise SSO via WorkOS, role-based per-project permissions (Editor / Viewer), immediate revocation.
- Sub-processors: Supabase (database and document storage, Frankfurt), Render (backend, Frankfurt), Vercel (delivery, Frankfurt), Google Vertex AI (analysis), WorkOS (identity and SSO), Resend (transactional email), Langfuse (quality monitoring, with email addresses redacted).

## Common Questions

**Is Arctis AI a replacement for estimators?** No. The agents do document work — reading, extracting, comparing, cross-checking. Judgment and the decision stay with the customer's team, and every output is traceable to its source so it can be checked.

**How is this different from using ChatGPT on bid documents?** General assistants summarize a pasted document. Arctis agents work across the full package, apply the customer's own rules, and cite the page and clause behind every finding.

**Does Arctis train on customer data?** No. See Security and Compliance above.

**Can a team start with one agent?** Yes. Most start with bid leveling or contract review and add agents from there. Everything a running agent produces feeds Intelligence.

**Does it work with existing estimating software and ERPs?** The platform reads the documents and spreadsheets teams already exchange, works alongside existing bid boards and plan room subscriptions, and integrates with the mail and file systems where documents live (Outlook, Gmail, SharePoint, OneDrive, Google Drive, Teams).
